Overview
Webinar follow-ups are usually one generic email to a list. This Zap uses attendee data + their Q&A questions + engagement timestamps to write a short, warm, personalized follow-up email per attendee — grounded in what they actually cared about. Reply rates in tested deployments 3-5x generic sends.
How it works
- Trigger: new attendee row in a Google Sheet exported from Zoom/Riverside.
- Fetch their question(s) and engagement peak (already in the sheet).
- GPT-4o-mini drafts a 90-word email referencing their question by content, not just topic.
- Zap creates a draft in Gmail / Hubspot sequence step.
Benefits
- Every attendee feels the follow-up was written for them.
- Reply and meeting-booked rates rise dramatically.
- Sales team doesn't type — they approve.
Use cases
- SaaS teams running weekly product webinars.
- Consultants using webinars as top-of-funnel.
- Community managers with high-engagement events.
Step-by-step guide
Step 1: Export attendee data
Name, company, question asked (text), engagement peak (topic + timestamp). One row per attendee.
Step 2: Voice guide + rules
Warm, brief, ends with a soft ask (reply, book time). Never mention the tool used to write it.
Step 3: GPT-4o-mini prompt
System: 'You are drafting a follow-up on behalf of {host}. Reference the attendee's actual question. Keep under 90 words.'
Step 4: Route to Gmail/HubSpot
Create draft, not send — SDR reviews before sending. Or push into a Sequence with the personalized first-step body.
Step 5: Measure vs generic control
Send 20% to a control with the generic template. Compare reply rate over 14 days.
Example
Draft: 'Hi Priya — you asked how the pricing scales past 50 users. Here's the exact breakpoint chart I mentioned — screenshot attached. If you want to walk through it with your team, I've got 15 min tomorrow.'
