Overview

Airtable is a great DIY CRM until you have 40 notes on a deal and can't remember where you stand. This Make scenario watches the Notes table, gathers all notes for the parent deal, and updates a single 'Current state' field with a Claude-generated summary. Open any deal, know exactly where things stand in one paragraph.

How it works

  1. Trigger: any new row in the Notes table.
  2. Fetch all notes for the linked deal ordered by date.
  3. Claude summarizes: current status, blockers, next action, decision-maker sentiment.
  4. Write back to the deal's 'Current state' field.

Step-by-step guide

Step 1: Add the field

Deal table: 'Current state' (long text, AI-generated). Not user-editable.

Step 2: Watch Notes creation

Trigger only on new notes, not edits. Batch-edit updates fire another module.

Step 3: Aggregate context

Pull last 20 notes for the deal, ordered by date. Include your own tags/labels.

Step 4: Prompt Claude

'Summarize the current state of this deal in one paragraph. Emphasize blockers, decision-maker sentiment, and the next step.'

Step 5: Update the deal

Idempotent — always overwrite. Include a timestamp at the end.

Example

'Current state (updated 2026-06-13): Waiting on CFO sign-off after positive VP demo on 6/10. Blocker is procurement's SOC2 review — Alex asked us to send the report by Friday. Next: send SOC2 + set a check-in for 6/17.'
